At JR Copier, your satisfaction is our priority. This Refund & Return Policy outlines the terms and conditions for returns, refunds, exchanges, and warranty coverage on office equipment purchased, leased, or rented from us.

Return Eligibility and Timeframes

Purchased Equipment

Purchased equipment may be returned within 30 days of delivery under the following conditions:

  • Equipment must be in original condition with minimal use (less than 500 impressions/copies)
  • All original accessories, manuals, and packaging must be included
  • Equipment must not show signs of physical damage, modification, or excessive wear
  • Return authorization must be obtained before shipping equipment back
  • A 15% restocking fee applies to all non-defective returns

Leased Equipment

Leased equipment is subject to the terms of your lease agreement. Early termination may result in fees. Contact your account manager to discuss lease modifications or termination options.

Rental Equipment

Rental equipment can be returned at the end of your rental period with no penalty, provided it is returned in good condition. Early termination of rental agreements may be subject to fees as outlined in your rental contract.

Non-Returnable Items

The following items are non-returnable:

  • Consumables (toner, ink, paper, maintenance kits)
  • Custom-configured or specially ordered equipment
  • Equipment with high usage (over 500 impressions)
  • Used or refurbished equipment (unless defective)
  • Equipment purchased on clearance or final sale
  • Digital licenses and software (once activated)

Defective or Damaged Equipment

If equipment arrives damaged or is found to be defective within 30 days of delivery:

  2. Provide order number and description of the issue
  3. Document the problem with photos or videos (if applicable)
  4. We will arrange for:
    • On-site repair by a certified technician (at no cost), OR
    • Replacement equipment shipped at no charge, OR
    • Full refund including shipping costs

No restocking fee applies to defective or damaged equipment returns.

Return Authorization Process

To initiate a return, follow these steps:

  2. Provide Required Information
    • Order number and date of purchase
    • Equipment model and serial number
    • Reason for return
    • Condition of equipment
  3. Receive Return Authorization (RA) Number

    Once approved, you will receive an RA number and return shipping instructions. Returns without an RA number will not be accepted.

  4. Prepare Equipment for Return
    • Pack equipment securely in original packaging (if available)
    • Include all accessories, manuals, and cables
    • Include a copy of your invoice or packing slip
    • Write RA number clearly on the outside of the box
  5. Ship Equipment

    Ship via carrier specified in return authorization. Return shipping costs are the customer's responsibility unless equipment is defective or damaged.

Refund Processing and Timeframes

Inspection Period

Upon receiving returned equipment, we will inspect it within 5-7 business days to verify condition and completeness.

Refund Amount

Approved refunds will be calculated as follows:

  • Defective Equipment: 100% refund (including original shipping costs)
  • Non-Defective Returns: Purchase price minus 15% restocking fee
  • Damaged Returns: Refund adjusted based on damage assessment (may incur repair costs)
  • Incomplete Returns: Refund reduced by cost of missing items

Refund Method and Timing

Refunds are issued to the original payment method:

  • Credit Card: 5-10 business days after approval
  • ACH/Wire Transfer: 7-10 business days after approval
  • Company Check: Check issued within 3-5 business days; allow 7-10 days for delivery

Exchanges and Replacements

We offer free exchanges for:

  • Defective equipment (within warranty period)
  • Incorrect items shipped (our error)
  • Equipment not meeting specifications

For exchanges to different models or upgraded equipment:

  • Standard return process applies (including restocking fee if applicable)
  • New equipment will be shipped upon receipt and approval of returned item
  • Price difference must be paid before new equipment ships

Warranty Coverage

New Equipment

New equipment is covered by manufacturer warranty (typically 1-3 years). Warranty claims are processed through the manufacturer with support from JR Copier. We assist with warranty registration, claims, and service coordination.

Refurbished Equipment

Refurbished equipment includes our 90-day warranty covering parts and labor. This warranty provides peace of mind that your equipment will function properly.

Repair Services

All repairs performed by JR Copier come with a 90-day warranty on parts and labor for the specific repair performed. If the same issue recurs within 90 days, we will:

  • Provide free follow-up service at no charge
  • Replace defective parts at no cost
  • Perform additional testing and quality assurance

Special Circumstances

Order Cancellations

Orders can be cancelled without penalty if cancelled before equipment ships. Contact us immediately if you need to cancel. Once equipment has shipped, standard return policy applies.

Buyer's Remorse

We understand that purchasing decisions can change. If you change your mind within 30 days, we accept returns subject to the 15% restocking fee (equipment must be in new condition with minimal use).

Freight Damage

If equipment is damaged during shipping, do not accept delivery if damage is visible. Document damage with photos and contact us immediately. We will file an insurance claim and arrange for replacement at no cost to you.

Extended Warranty and Service Contracts

Extended warranty and service contracts are non-refundable once activated. However, unused portions may be transferable to replacement equipment or credited toward upgraded coverage.

Return Shipping Costs

  • Defective or Damaged Equipment: JR Copier covers all return shipping costs
  • Incorrect Item Shipped: JR Copier covers all return shipping costs
  • Non-Defective Returns: Customer is responsible for return shipping costs
  • Refused Deliveries: Customer may be charged for return shipping

We recommend using a carrier with tracking and insurance for return shipments. JR Copier is not responsible for equipment lost or damaged during return transit.
